Candidate Privacy Addendum

Rovlid is committed to protecting the privacy and security of your Personal Data. This Candidate Privacy Addendum describes how we collect and use Personal Data about you prior to your working relationship with us, in accordance with applicable data protection legislation. It applies to all candidates for positions as employees, workers, or contractors.

This Candidate Privacy Addendum applies to candidates applying for employment and contractor roles with Rovlid. This Candidate Privacy Addendum does not form part of any contract of employment or other contract to provide services. We may update this notice at any time.

It is important that you read this Candidate Privacy Addendum together with our Privacy Policy and any other privacy notice we may provide to you on specific occasions when we are collecting or processing Personal Data about you, so that you are aware of how and why we are using such information and what your rights are under applicable data protection legislation.

A. Data Protection Principles

We will comply with data protection law, which requires that the Personal Data we hold about you be:
•Used lawfully, fairly, and in a transparent way;
•Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes;
•Relevant to the purposes we have told you about and limited only to those purposes;
•Accurate and kept up to date;
•Kept only as long as necessary for the purposes we have told you about; and
•Kept securely.

B. The Kind of Information We Hold About You

Personal Data means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). There are “special categories” of more sensitive personal data that require a higher level of protection, such as information about a person’s health or sexual orientation.

•Location of employment or workplace.
•Recruitment information (including copies of right-to-work documentation, references, and other information included in a CV or cover letter or as part of the application process).
•Employment records (including job titles, work history, working hours, holidays, training records, and professional memberships).
•Compensation history.
•Performance information.
•Disciplinary and grievance information.

C. How Is Your Personal Information Collected?

We collect Personal Data about candidates through the application and recruitment process, either directly from candidates or sometimes from an employment agency. We may sometimes collect additional information from third parties, including former employers.

D. How We Will Use Information About You

We will only use your Personal Data when the law allows us and when we have a lawful ground to do so. Most commonly, we will rely on the following lawful grounds to process your Personal Data:
•Consent: Where we have your consent to do so.
•Contract: Where we need to perform the contract we have entered into with you or take steps to enter into a contract with you.
•Legal Obligation: Where we need to comply with a legal obligation.
•Legitimate Interests: Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

If you fail to provide certain information when requested, we may not be able to assess your eligibility or suitability for an open position, or we may be prevented from complying with our legal obligations.

E. Data Sharing

We may have to share your data with third parties, including third-party Service Providers and other entities at Rovlid.
•We require third parties to respect the security of your data and to treat it in accordance with the law.
•We may transfer your Personal Data outside the EU, and if we do, we will ensure your Personal Data is adequately protected.

F. Rights of Access, Correction, Erasure, and Restriction

If you are a resident of the EEA, Switzerland, or UK, under certain circumstances, you have the right to:
•Request access to your Personal Data.
•Request correction of your Personal Data.
•Request erasure of your Personal Data.
•Object to processing of your Personal Data.
•Request the transfer of your Personal Data to another party.

G. Data Retention

We will retain your Personal Data only as long as necessary to fulfil the purposes for which we collected it, including satisfying legal, accounting, or reporting requirements. Once we no longer need candidate data, we will securely destroy it in accordance with applicable laws and regulations.
